How To Interpret Data That Appear on Bibliographic Citations

Important: Before you fill out an interlibrary loan (ILL) request form, please check the University of Houston Libraries online catalog to verify that the Libraries do not already own the item that you are requesting.

To fill out interlibrary loan forms correctly, you must know how to read and interpret data that appear on bibliographic citations and then transfer that data to appropriate fields on the ILL request forms. Bibliographic citations may appear in paper or electronic indexes which list citations to articles and other materials organized by topic. A list of bibliographic citations may also appear at the end of articles.

Articles in Journals

How Much Information Do You Need?

We need full journal title, author of article (supply last name first followed by forename(s)), title of article, volume, issue number, date, pagination, and ISSN, if available.

What About Journal Titles That Are Given in Abbreviated Form?

Ask the staff at the Information Desk (First Floor, Gold Wing), for a reference book that will give you full titles of abbreviated journal titles. Journal titles that are given to us only as abbreviations will result in delays as staff attempt to locate the full title. However, if you are unable to locate the full journal title, do not try to guess at what the abbreviations stand for. Submit the request with the abbreviated journal title.

How Can I Tell from the Citations Which Are the Volume, Issue, or Page Numbers?

Different databases may represent the volume number, issue number, date, and pagination data in various formats and order.

Vol 31 (6): 210-215 means volume 31, issue number 6, pages 210-215
1994 Spring, 22:1, 19-36 means volume 22, issue number 1, 1994 Spring, pages 19-36
v 23/2, 14-19 means volume 23, issue number 2, pages 14-19
55: 2625-9 O 25 1997 means volume 55, October 25, 1997, pages 2625-2629
28: 116-30 no 1 1997 means volume 28, issue number 1, 1997, pages 116-130
1997, 10, 5-16 means volume 10, 1997, pages 5-16

Medical Articles

What Will Speed Up the Processing of Requests for Medical Articles?

If your citation comes from the PubMed database, supply the PMID (PubMed identifier) number in the Notes field of the ILL request form. We process most requests for articles from medical journals using the DOCLINE system which will transfer all the data about the item you are requesting by simply typing in the PMID number. Since no rekeying is necessary on the part of the ILL staff, your requests will be processed quickly and accurately.

Articles or Chapters in Books

How Can I Tell from the Citation That the Item Is an Article from a Book?

The best way to identify articles that appear in books is by the appearance of the word IN in the source field. The numbers preceding the word IN represent the page numbers of the article and the information following the word IN refer to the author and title of the book, place of publication, name of publisher, and publication date.

Articles in Conferences, Symposia, Etc.

How Much Information Do You Need?

We need information about the author and title of the article as well as complete information about the conference or symposium, e.g., full name or title of conference/symposium; conference number; meeting date(s); place where meeting was held; editors, sponsoring agencies; and, if published, publisher and publication date(s). Please note that meeting and publication dates may be different. Do not include a meeting date as the publication date. Why do we need all this information? A conference may be held more than once in different places and on different dates. Many conferences are never published. In such cases, contacting authors, editors, or sponsoring agencies may be the only way to locate a copy of your article.

How Much Information Do You Need?

When you are requesting books or other monographs, please supply the following information: author(s), title, edition (e.g., 2d edition; revised edition), place of publication, publisher, publication date, series statement (if available), ISBN (if available). If we cannot locate a copy of the edition that you have indicated, we will automatically attempt to obtain a copy of another edition, unless you specify otherwise.

Documents in ERIC Database

When searching the ERIC database, pay attention to the Accession Number located at the end of the author statement or title statement, if there is no author. If the accession number begins with ED, electronic full text is available if the message "Full Text from EDRS" appears after the ED number. The UH Libraries also has a copy of ED documents in microfiche in the Access Services Room (First Floor, Gold Wing). Ask for assistance at the Service Desk.

Dissertations or Theses

What Information Should I Include When Requesting Dissertations or Theses?

Please include the author, title, degree, name of degree-granting institution, and date.

In the above citation, the name of the degree granting institution and date, i.e., Tulane U, 1997, are found at the end of the SOURCE (BIBLIOGRAPHIC CITATION) field. Ignore the rest of the data in the SOURCE field.

How Will I Recognize a Government Document?

The UH Libraries have been a depository library for U.S. government publications since 1957. Government documents have their own classification number, called a SuDOCS number, which is also used by our library. When requesting government documents not owned by the UH Libraries through ILL, please include this number on your ILL request.
